Who controls your data

simple quotes.lewis, a business based in England, United Kingdom, operates Simple Quote and is the data controller for the personal data described in this notice. This means we decide why and how that data is processed. Contact us at l.dale@dataconservices.com.

Data we handle

• Account data — your email address, account identifier, authentication records and account creation date. Your password is handled securely by our authentication provider; we do not see it in readable form.
• Business and quote data — your business name, trade, logo, contact details, price list, quote text, line items, totals, statuses, and any customer name, email or mobile number you enter.
• AI input and output — up to three site photos, your note, relevant price-list items, and the draft description and suggestions returned to you.
• Subscription data — subscription status, Paddle customer and subscription identifiers, product, billing period and cancellation status. Paddle collects and controls card, billing and tax details; we do not receive your full card number.
• Technical and support data — IP address, device and browser information, security logs, error details, and messages you send to support where necessary to operate and protect the service.

What stays on your device

Your chosen trade, business details, logo, price list, quotes and customer contact details are stored in local storage on your device. They are not currently synchronised to our cloud. Clearing the app or browser data removes this local information, and it will not automatically appear on another device. Your account, trial start and subscription status are stored in our cloud so they can follow your sign-in.

Why we use data and our legal bases

• Contract — to create and secure your account, provide the three-day trial and Pro service, generate requested drafts, and manage your subscription.
• Legitimate interests — to prevent fraud and misuse, maintain security, diagnose faults, improve reliability, and answer support requests. We balance these interests against your rights.
• Legal obligation — to keep records or disclose information where tax, accounting, consumer, fraud-prevention or other law requires it.
• Consent — where we ask permission for optional device access or non-essential cookies. You may withdraw consent at any time without affecting earlier lawful processing.

Photos and AI drafting

When you tap Draft, the selected photos, your note, trade wording and relevant price-list entries are transmitted over an encrypted connection to our AI service to produce a description and suggested items. We do not save the site photos in Simple Quote after that request. The AI service does not need your business name, customer contact details or other quotes for this task. Do not upload sensitive personal information that is unnecessary, and ensure you have permission to use each image.

Who receives data

• Cloud hosting, authentication, security and technical service providers that operate the account and subscription features for us.
• Our AI service provider, which receives only the content needed to generate a draft when you request one.
• Paddle, our Merchant of Record, for checkout, payment processing, subscription management, tax compliance, invoicing, fraud prevention, customer service and refunds. Paddle handles payment data under its own privacy notice.
• Professional advisers such as legal and accounting providers where necessary, and authorities or courts where law requires it.
• A buyer or successor if the business or service is sold or reorganised, subject to appropriate safeguards.

Sending quotes

Email and WhatsApp buttons hand the prepared quote to the app you choose. That provider then processes the message under its own terms. Simple Quote does not send the message itself. Copying and creating a printable PDF happen on your device.

Cookies and local storage

We use essential browser storage and authentication data to keep you signed in, remember your trade and settings, save local quotes, run your trial and recognise your plan. These are necessary to provide the service. We do not currently use advertising, marketing or cross-site tracking cookies, or third-party analytics cookies. You can clear storage in your browser or device settings, but doing so removes locally saved content and may sign you out.

How long we keep data

Site photos are not retained by Simple Quote after the AI request. Quotes, price lists, branding and customer details remain on your device until you delete them or clear app data. We keep account and subscription records while your account is open. If you ask us to delete the account, we delete or anonymise ordinary account data within 30 days, except records needed for legal claims, fraud prevention or compliance. Paddle and relevant accounting providers may retain transaction, invoice and tax records for up to seven years or longer where law requires. Support messages and security logs are normally kept for up to 24 months unless needed to investigate an issue or meet a legal duty.

International transfers

Some providers may process data outside the United Kingdom or European Economic Area. Where required, we rely on an adequacy decision, the UK International Data Transfer Agreement or Addendum, standard contractual clauses, or another lawful safeguard. You may contact us for more information about the safeguards relevant to your data.

Security

We use appropriate technical and organisational safeguards, including encrypted transmission, controlled access, account authentication, restricted database access and service-provider security controls. No online service can guarantee absolute security. Protect your password and device, and contact us promptly if you suspect misuse.

Your UK data rights

Depending on the circumstances, you may ask to access, correct, erase or restrict your personal data, receive a portable copy, or object to processing based on legitimate interests. You may withdraw consent where processing relies on consent. Email l.dale@dataconservices.com to exercise a right; we normally respond within one month and may need to verify your identity. You may also complain to the UK Information Commissioner's Office at ico.org.uk.

Children

Simple Quote is a business service for adults and is not intended for anyone under 18. We do not knowingly collect children's data.

Changes and contact
